Description

Job Purpose:

The post holder will assist with administration, promotion and clerical duties.

The post holder will provide support to Manager and employees, assisting in daily office needs and managing DPHS’s general administrative and social media activities.

Key Tasks:

To create and maintain all client records i.e. client files and statistics as required pertaining to DPHS in accordance with DPHS policies and procedures.

To maintain the highest standard in relation to customer care and communication with others

To contribute to the promotion, development and funding of DPHS

To manage Social media activity in relation to promotion of DPH

Activities by key task:

To create and maintain all client records i.e. client files and statistics as required, pertaining to the DPHS in accordance with DPHS policies and procedures.

· To answer telephone calls and direct or deal as appropriate.

· Input and update client files onto database

· Assist with online housing applications on behalf of DPHS clients.

· Plan meetings and take detailed minutes when required

· To signpost clients for assistance with adaptations, telecare, home safety, benefit claims, home energy and income advice.

· Assist in preparation of regular scheduled database reports.

· Maintain contact lists

· Order office supplies and research new deals and suppliers.

· Update and maintain office policies and procedures

· To create and maintain all client records, files and IT systems to ensure the smooth running of the service, in accordance with the Data Protection Act.

· To co-manage a diary of visits and appointments.

· To comply with DPHS policies and procedures

To maintain the highest standard in relation to customer care and communication with others.

· Ensure the highest standards of customer care in responding to written or telephone queries.

· To be flexible with personal timetable and to be available within reason to work flexible hours if required (evening and weekend working may be required but this will be infrequent).

· To be responsible for organising daily work demands to ensure that quality client focused services are delivered.

· To collect and collate customer feedback.

To contribute to the promotion of the DPHS

· To participate in the ongoing development of DPHS Aberdeen service and funding.

· Share and disseminate information on DPHS Aberdeen as and when requested.

To manage Social media activity in relation to promotion of DPHS

· To research and identify suitable platforms for promoting the service through social media including Facebook, Twitter, Instagram and the DPHS website.

· To manage and be responsible for collating relevant material and information from other staff and volunteers
