Part Time Facilities Workplace Assistant
Hours:- 9:30-2:30
Salary- £13,142
Location- Gatwick

We are looking for a Confident, polished and articulate candidate with a facilities background to work as part of our clients South West Regional team with primary responsibilities for the Gatwick office.

It is imperative you have a facilities background and ideally health and safety.

The role will entail of the following responsibilities-

-Ensure the meeting rooms are maintained to an acceptable standard throughout the day.
-Receive and greet visitors in a polite, professional and friendly manner at all times.
-Issue, retrieve and recycle all visitor passes.

-Market Facilities by providing a first class service both internally and externally, thereby raising the profile of the function and improving Facilities` impact on the firm`s expenditure.

-Act as a point of contact for the Workplace Assistant Manager by providing administrative support, incoming post, outgoing post and forwarding information by email, if required

-Work with key suppliers on site to ensure all services provided are up to standard.
Raise jobs via the internal Concept system and Service Desk to ensure timely closure of reactive works.

-Respond effectively to general enquiries from internal and external clients/contacts and suppliers.

-Provide information to all management levels.
-Arrange meetings, hospitality and catering bookings.

-Manage car parking system adding and/or removing staff members as required;
coordinating availability of spaces and any other associated tasks, keeping up to date records of parking activity.

-Read and understand the requirements of the Facilities Health and Safety policy and the procedures relating to the job.

-Conduct sample monitoring of contractor activity to ensure maintenance of safe working procedures.

-Conduct monthly workplace health and safety inspections, fire safety checks, cleaning, catering audits and any other policy or statutory activities as required.

-Complete the IOSSH Working Safely Course or equivalent

-Undertake any ad hoc projects as directed by the Workplace Assistant Manager.

-Provide a focal point for all Facilities related queries originating in the office.

-Undertake any other relevant Facilities related admin as directed by the Workplace Assistant Manager which might reasonably be expected to fall within the scope of the position.

-Produce information for monthly reports and related statistics in an efficient and timely manner.

Ensure that adequate Facilities arrangements are in place by means of implementation of a management system of planning, organisation and monitoring of procedures, specifically in the provision of the following service contracts:

-Staff catering and vending
-Client services and hospitality, meeting room support and audio visual services
-Building maintenance
-Mail and courier services
-Stationery supplies
-Confidential, general and recycling waste management
-Office security
-Plants and landscaping
-Furniture removal and storage
